Centralized Dashboard for Managing External Integrations and OAuth Credentials
The Problem / Use Case Currently, managing external credentials (like Gmail or Outlook accounts) in SmartSuite is done "inline" within the Automation builder. This creates several major pain points for workspace administrators and users: Visibility Gap: Users cannot see which credentials are active, which have expired, or which automations are using them without manually checking each automation. Security Risks: There is no easy way to see if a personal credential was accidentally set to "Shared," allowing other users to send emails from that account. Maintenance Overhead: When a password changes or a token expires, users have to hunt down the specific automation to "Reconnect," leading to downtime in critical workflows. Credential Proliferation: Multiple users often connect the same account multiple times because they can't see existing connections. Proposed Solution I suggest adding a "Workspace Integration Center" (accessible via Workspace Settings or the Automations tab) that provides a bird's-eye view of all connections. Key Features: Global Connection List: A list of all connected accounts (Gmail, Slack, Twilio, etc.) across the entire workspace or specific solutions. Status Indicators: Clear visual cues (Green/Red) showing if a connection is active or needs re-authentication. Usage Mapping: A "Used In" column showing exactly which Solutions and Automations are currently utilizing a specific credential. Centralized Permissions: A toggle to switch a credential between "Private" (owner only) and "Shared" (available to all automation creators). Bulk Actions: Ability to refresh or delete credentials in one place. Proactive Alerts: An option to receive notifications when a credential is about to expire or has failed. Expected Benefits Improved Reliability: Admins can fix broken connections before they cause automation failures. Better Security: Granular control over who can send emails or access data via shared integrations. User Experience: Much cleaner interface for users who are confused by seeing other users' accounts in their dropdown menus. Scalability: Essential for larger teams managing hundreds of automations across multiple departments.
