Filter to Produce a Live Duplicate Record View
Benjamin Bachman
A powerful way to see duplicate records or groups of like records would be to build a new way of filtering the view.
- Group by a property (example: Email Address)
- Filter by that grouping, showing groups that have greater than 1.. 2.. 3.. etc items grouped
Essentially, this is a live de-dupe view. I have long wanted this kind of grouping in competitors' tools. Maybe SmartSuite can help us achieve it.
In my attached screenshot example. If I could do what I am looking to do, setting it to show groups that have more than 1 item, it would only show two groups...

That would be very useful. I spent a lot of time to set automations to find duplicates and in some cases I did not succeed. There should be some kind of features allowing to filter (and to set a view with this filter) records that have the same values in designated fields

Hiya quarfinite, thanks for this post! I have a few more questions for you:
- Could you please specify the areas in the application where you are encountering duplicates?
- What kind of data are you referring to when you mention 'duplicates'?
- Could you provide an example of a situation where the ability to filter duplicates would be beneficial?

Jon Darbyshire Hi Jon
- i have a table with lots of contacts and periodically i need to add new ones and update
- records
- Already imported 10k of contacts. It would be great in this scenario to filter all the duplicates to see what should be merged

Hiya Benjamin Bachman, thanks for this post! I have a few more questions for you:
- Can you provide more details on how you envision the grouping feature to work in terms of user interaction?
- What specific actions would you like to perform on the identified duplicate groups?
- Are there any additional criteria you would like to use for grouping and filtering, apart from email addresses?
Benjamin Bachman
Jon Darbyshire sure thing! Here is what I think.
- Can you provide more details on how you envision the grouping feature to work in terms of user interaction?
Provide a data input (filter area in the grouping model) to filter how many items you would like to show in the group.
- Example: > 1 Items - would show 2 or more items in the group
- Example: < 21 Items - would show 20 or less items in the group
- Example: Has any of - make your selection and only show that item in groups if applicable
- Example: Has non of - make your selection and it would exclude that item in groups if applicable
Basically I think using all of the filter actions you have to date.
- What specific actions would you like to perform on the identified duplicate groups?
I didn't really think of any outside of the box actions to take on the group, but off the top of my head...
- With a button on the group, run an automation. This would open up a huge door of options and creativity to really call this a work management platform.
- Are there any additional criteria you would like to use for grouping and filtering, apart from email addresses?
I think I would want to be able to group by any property type that can be grouped today. I know multi-select could be tricky.
Benjamin Bachman
Jon Darbyshire I think I want to point out and stress that this really serves two purposes, and it isn't just a de-dupe view.
It achieves...
- Showing like items to take action on them
- Showing like items to see summary results like in the attached screenshot
It is a filter that helps build a better view of different business processes.
